How to keep a motorcycle maintenance log

A useful maintenance log needs four fields per entry: date, odometer reading, what was done, and parts or cost. Keep it in a notebook, a spreadsheet or on your phone — the medium does not matter, the consistency does. Kept properly, it answers the only question that matters on any given day: what is due next.
Why memory fails at this
Service intervals live in kilometres. Memories live in months. You remember changing the oil "in spring"; you do not remember whether the bike has covered 3,000 km (1,900 miles) since, or three times that. The two units drift apart within a season, and by the second year the honest answer to "when is the brake fluid due" is a shrug.
It gets worse because every interval is really a distance and a time limit, whichever comes first. To know where you stand on either clock, a record has to pin both down. That is why date and odometer are non-negotiable fields: an entry with one but not the other only answers half the question.

Four fields, one line, under a minute. Everything else — torque values, part numbers, tyre pressures set — is welcome but optional. The four fields are the skeleton; skip one and the entry loses most of its value.
A good entry and a useless one
"Serviced bike, March" teaches nothing. Which service? At what reading? Did it include the brake fluid or not? An entry like that cannot settle a single future question, which makes it decoration, not a record.
A good entry can be reconstructed by a stranger: "14 Jun 2026, 21,650 km — oil and filter, 10W-40 semi-synthetic, crush washer, $55 (€50)." A mechanic reading that knows what was done, when, and what to expect next. That is the test to hold every entry to: could a buyer, a workshop, or you in three years work out exactly what happened.
Record the spec of consumables while you are at it — oil viscosity and brand, pad compound, tyre model. When something behaves oddly later, that detail is the difference between a diagnosis and a guess.
Capture everything, the same day
Three sources feed the log, and all three leak if you wait:
- Workshop invoices. Photograph them the day you get them. Paper fades, wallets eat receipts, and the invoice usually carries the odometer reading you will want later.
- Your own jobs. Log before the tools go away. It is part of the job, the same way torquing the drain plug is.
- Roadside fixes and observations. A topped-up oil level, a new noise, a puncture plugged — each is one line, and each matters later.
The same-day rule exists because odometer readings are unrecoverable. A week on, the number is gone, and "roughly 22,000" quietly corrupts every countdown that depends on it.
Log what you noticed but did not fix, too. "Front pads at 3 mm" written down today turns a future brake job into a scheduled event instead of a surprise.
What the log pays back
Resale is the obvious payoff: a documented history typically adds 10–15% to a used bike's price and, more usefully, makes it sell faster — what records are worth at sale covers how buyers read them. A log with invoices attached converts a buyer's biggest fear, hidden neglect, into confidence.
Warranty is the quieter one. In most markets, servicing a bike yourself or at an independent shop does not void the warranty — provided you can document that the work was done on schedule with correct parts. The log plus receipts is that documentation.
Then there are the patterns only a record can show: oil consumption creeping up between changes, chain life shortening, a battery needing charges more often. Each is an early warning that reads as noise without dated entries to compare. And there is plain money: knowing what was done stops you paying twice for the same job, which is a real slice of what maintenance costs per year.
FAQ
Is a paper logbook or an app better for maintenance records?
Whichever you will still be using in a year. Paper is durable and sits in the garage but cannot remind you of anything. A spreadsheet computes distance-to-due. An app can prompt you. The four fields are the constant — the container is taste.
What if I bought the bike with no service history?
Start now. First entry: today's date, the current odometer reading, and a baseline service — assume every fluid and consumable is due, do the work, log it. History begins there, and a buyer three years from now cares most about the years you owned it.
Should I log fuel fill-ups too?
Optional. Fuel economy drifting downward can flag a clogged air filter or dragging brake, so the data has some diagnostic value. Keep it separate from maintenance entries though — a log drowned in fill-ups is harder to read when you need the service history.
Do photos count as service records?
Yes. Dated photos of invoices, the odometer, and old parts next to new ones all hold up well — file metadata carries the timestamp. The strongest format is a log entry that references the photo or invoice behind it.
